A packing slip lists what is physically inside a shipment. It travels with the goods, so the person who opens the box can check the contents against the order without needing the invoice.
- Enter the order number and the order date. The slip should carry the same reference as the order it fulfils.
- Fill in the ship-from address (your warehouse) and the ship-to details: customer name and delivery address.
- Add one line per product in the box, with its SKU, a description the receiver will recognise and the quantity packed.
- Use the special instructions field for anything the carrier or the receiver must know: fragile goods, a delivery window, items that will follow in a second parcel.
- Print the slip, have the packer sign and date it, and place it inside the box or in a pouch on the outside.
Worked example: a partial shipment
A customer orders 24 units of SKU-A, 12 of SKU-B and 6 of SKU-C. Only 4 units of SKU-C are in stock.
The slip lists what is actually in the box: 24 + 12 + 4 = 40 units. The special instructions say that 2 units of SKU-C will follow.
The receiver counts 40 units, matches them to the slip and knows the order is not complete yet. Nobody opens a dispute over an item that was never shipped.
Packing slip, invoice or bill of lading?
| Document | What it does |
|---|---|
| Packing slip | Lists the items and quantities in the package. Usually shows no prices. Goes with the goods. |
| Invoice | Requests payment. Shows prices, taxes and payment terms. Goes to the buyer's accounts department. |
| Bill of lading | Contract between the shipper and the carrier. Proves the carrier took charge of the freight. |
Common mistakes
- Listing what was ordered instead of what was packed. The slip must describe the box, not the order.
- Vague descriptions. “Blue shirt, size M” can be checked; “Item 3” cannot.
- Printing prices on a slip for a gift or a drop-shipped order, where the receiver is not the buyer.
- Leaving the “packed by” line empty. A name and a date make it possible to trace a packing error.
Frequently asked questions
Is a packing slip a legal document?
In most countries it is an operational document rather than a tax or legal one: it does not replace the invoice. Rules differ by country and by carrier, and an international shipment also needs a commercial invoice for customs.
Should a packing slip show prices?
Usually not. Its job is to confirm contents and quantities. Keeping prices off the slip also protects gift orders and drop-shipping arrangements, where the person receiving the parcel did not pay for it.
What is the difference between a packing slip and a delivery note?
They do the same job. “Delivery note” is the usual term in the UK and in many other markets, and it is often signed by the receiver as proof of delivery.
Do I need one packing slip per box?
For a shipment of several boxes, one slip per box listing that box's contents makes receiving much faster. If you use a single slip for the whole shipment, mark each box “1 of 3”, “2 of 3” and so on.
