An invoice is the document that asks a customer to pay for goods or services. A clear invoice gets paid faster, because the customer has nothing to query.
- Enter your business name, address and email, and upload your logo if you have one.
- Enter the client's name, address and email exactly as they appear in the client's own records.
- Set the invoice number, the invoice date, the due date and the currency.
- Add one line per product or service, with a description, a quantity and a rate. The amounts and the total are calculated for you.
- Use the notes field for payment terms and bank details, then print the invoice or save it as a PDF.
Worked example
A consultant bills 10 hours at 60 per hour and 2 software licences at 150 each.
Line 1: 10 × 60 = 600. Line 2: 2 × 150 = 300. Subtotal and amount due: 900.
This generator does not add a tax line. If you charge VAT or sales tax, add it as its own line item so the customer can see the rate and the amount.
What an invoice should contain
| Element | Why it matters |
|---|---|
| Your legal name and address | Identifies who is asking for payment. |
| Tax or registration numbers | Required on invoices in many countries. Check the rules where you are registered. |
| Client's name and address | The client's accounts department needs them to record the expense. |
| Unique invoice number | Numbers should follow one continuous sequence, with no gaps and no reuse. |
| Invoice date and due date | The due date removes any doubt about when payment is late. |
| Line items with quantity and unit price | Lets the client match the invoice to what was delivered. |
| Total and payment instructions | Bank details or a payment link, so the client can pay without asking. |
Common mistakes
- Restarting or reusing invoice numbers. One sequence, in order, is what auditors and tax authorities expect.
- Writing “payment on receipt” without a date. A dated deadline is easier to enforce.
- Editing an invoice after it has been sent. Issue a credit note and a new invoice instead, so both sets of books still match.
- Descriptions the client cannot recognise. Quote the purchase order number or the delivery date when there is one.
Frequently asked questions
What is the difference between an invoice and a receipt?
An invoice asks for payment and is issued before the money arrives. A receipt confirms that payment has been made.
When should I send an invoice?
As soon as the goods are delivered or the service is completed, unless the contract sets other milestones. The payment period usually runs from the invoice date, so a late invoice means a late payment.
Which payment terms should I use?
Thirty days is common between businesses, but terms are a commercial choice and some countries cap them by law. Whatever you agree, print the actual due date on the invoice.
Can I use this invoice in Morocco?
A Moroccan invoice must also carry identifiers such as the ICE and the tax identification number, and show VAT separately. Our French-language guide, linked below, lists every mandatory mention.
